    2025 Summer Registration

    Welcome to 2025 summer swim – We are excited to start another summer of fun, swim, and team spirit!

    This year the Laurel Hill Tritons will be competing again in Division 14 of the Northern Virginia Swim League (NVSL). Coach Kathleen Winston will be returning as our Head Coach, and Matt Beebe will be our Assistant Coach. We will also have several Junior Assistants helping Coach Kathleen and Coach Matt. This summer, we welcome our two new Team Reps: Amy Johnson and Jenn Talarico.

    Little Tritons program:

    The Little Tritons program is intended for swimmers that are at least 4 years old and willing to enter the water on their own, easily separate from parents, and take instructions from the coaches and junior assistants. The Little Tritons program will help your swimmer learn to swim in preparation for future years on the swim team!

    Swim team registrants:

    The swim team will be accepting swimmers who are at least 5 years old and are able to swim the length of the pool independently. The swim team is not a learn to swim program – instead, swimmers registered for the swim team will focus on building endurance, learning proper strokes, and improving times!

    Summer practice schedule:

    Summer practices will be held Monday through Friday, beginning on May 27, 2025 (the Tuesday after Memorial Day weekend).

    From May 27 through June 11 (the last day of school in Fairfax County), practices will be as follows:

    • Middle school swimmers: 3:30-4:15pm
    • High school swimmers: 4:15-5:00pm
    • Elementary school swimmers: 5:00-5:45pm

    Beginning on Thursday, June 12, practices will be as follows:

    • Early swimmers:** 7:30-8:30am
    • 13-18 yr old swimmers: 8:00-9:00am
    • 5-12 yr old swimmers: 9:00-10:00am

    ** For the early swimmers session, swimmers must be able to swim without assistance and will be permitted to leave practice early if desired.

    NOTE: These times have been selected to ensure efficient practices while accommodating the greatest number of schedules for our swim families. If you would like your child to participate in a time slot that hasn’t been designated for their age group, please contact one of our Team Reps ([email protected]) and we will do our best to work something out.

    In addition to the above practice times, we are working with the HOA on securing time for afternoon practices two days a week after school ends. We will share more information regarding the afternoon practice option once we receive approval to use the pool.

    If you are NOT a current resident of the Laurel Hill community, you must fill out an Associate Membership form and obtain a confirmation of your pool membership before your swimmer is eligible for the swim team or for the Little Tritons program. The Associate Membership form must be completed and returned along with the Associate Membership fee to the Cardinal Management staff at the Laurel Hill Clubhouse (8380 Laurel Crest Drive, Lorton, VA 22079).     Volunteer obligations:

    Our team relies on parent volunteers to ensure the success of our Saturday “A” meets, Monday “B” meets, and other team events planned for the summer. Each swim family is required to meet a minimum number of volunteer hours in support of the team. There are plenty of opportunities to volunteer, and more details about volunteer opportunities can be found on the team website and the swim team handbook.

    For families with swimmers on the swim team, the requirement is for 20 volunteer hours per family. For families with ONLY Little Tritons swimmers, the requirement is reduced to 5 volunteer hours per family.

    Any family that has not reached the required number of volunteer hours by the end of the summer swim season will be charged a $250 volunteer opt-out fee.

    Swim team swimsuits and swim caps:

    Swim team swimmers are not required to wear team swimsuits for practices or for swim meets, but we encourage swimmers to wear the team swimsuit for “A” and “B” meets, or for other competitive events (e.g., Relay Carnival, Divisionals). Our swimsuit supplier will be present so your swimmer can be fitted for a swimsuit at the “Meet the Tritons” event scheduled for April 22, 2025, at the Laurel Hill Clubhouse. You may also purchase team swimsuits directly from SuitUp Water Sports in Fairfax, VA, after April 22, 2025, by visiting their storefront at 10627 Braddock Rd, Fairfax, VA 22032.

    If you aren’t able to purchase a team swimsuit, we recommend that you have either a black or blue swimsuit, which can be purchased from any retail outlet, for “A” and “B” meets, or for other competitive events (e.g., Relay Carnival, Divisionals).

    A swim team swim cap is included as part of your registration fee, and will be provided to your swimmer at the first day of practice. We ask that your swimmer wear the team swim cap for “A” and “B” meets, or for other competitive events (e.g., Relay Carnival, Divisionals).

    For practices, swimmers can wear any swimsuit and swim caps are optional, but we encourage swim team swimmers to wear swimsuits and swim caps similar to the style that will be worn for competition.

    NVSL Participation Waiver

    As Parent/Guardian of the above-name minor(s), I grant permission for the swimmer(s) to participate in all activities of the Laurel Hill Community Swim Team, a Northern Virginia Swimming League (NVSL) member team. I represent and warrant that my minor child/children participating on the Laurel Hill Community Swim Team are in good health and have no physical condition, ailment or disability which renders them unable to participate in vigorous physical activity. For and in consideration of benefits derived from participation in the Laurel Hill Community Swim Team program, I understand that the risk of injury to my child from the activities involved in these programs is significant, including the potential for permanent disability and death, and while particular rules, equipment, and personal discipline may reduce this risk, the risk of serious injury does exist. I assume all risks and hazards arising out of, or related to, such participation, including, but not limited to, transportation to and from such activities, and do hereby indemnify, release and hold harmless the Laurel Hill Community Swim Team, its coaches, team representatives, volunteers, property manager, employees and agents, as well as the Northern Virginia Swimming League, from all claims of any kind whatsoever which may arise or hereafter accrue in connection with my child’s/children’s participation in activities of the Laurel Hill Community Swim Team. I further grant permission for first aid to be given to my child/children in an emergency and will be solely responsible for any medical costs which may arise. I AGREE THAT THEY WILL ABIDE BY THE NORTHERN VIRGINIA SWIMMING LEAGUE CODE OF CONDUCT.

    Laurel Hill Community Swim Team Waiver

    As the parent(s)/guardian(s) of the above-named child, I/we understand that the Laurel Hill Community Swim Team coaches, representatives, volunteers, and the Laurel Hill Community Association, which owns and operates the swimming pool, cannot accept responsibility for the health and medical care of swim participants. The swim team does not maintain medical records or medical information with regard to its participants other than the information provided by parent/guardian on this form and the swim coaches and representatives are relying on the information provided on this form and by parent(s)/guardian(s) signature below that the swim participant is in good health and able to participate in Laurel Hill Community Swim Team activities. The swim team and the Laurel Hill Community Association pool does not maintain or administer emergency medicines or equipment (such as epi-pens or cardiac equipment). If a swim participant has a medical condition which would require the use of such medicines or medical devices, the swim participant’s parent(s)/guardian(s) are solely responsible for carrying and administering such medicines/medical equipment. In cases of medical emergencies, the swim coaches, representatives, volunteers, and pool lifeguards are authorized by me/us to call 911.

    Parent(s)/guardian(s) understand that the sport of swimming is inherently and potentially a dangerous sport, and that notwithstanding the swim coaches efforts to assure the safety of all swim participants, participants may incur injuries as a result of their participation. We/I hereby agree to hold the Laurel Hill Community Association, Inc., the Laurel Hill Community Swim Team coaches, representatives, and their directors, volunteers, or other agents free from any and all liability, claims, judgment, demands or damages occurring as a result of the swim participant’s participation in swim activities, practices, meets, or other events sponsored by the Laurel Hill Community Swim Team.

    Volunteer Acknowledgement

    The Laurel Hill Community Swim Team relies on parent volunteers to ensure the success of our Saturday “A” meets, Monday “B” meets, and other team events planned for the summer. Each swim family is required to complete at least 20 hours of volunteer service hours during the summer swim session. If you only have a swimmer(s) in the Little Tritons program, you are only required to complete 5 hours of volunteer service hours during the summer swim session. If you fail to volunteer for the number of hours specified, the Laurel Hill Community Swim Team will charge a volunteer fee of $250. By registering a child to swim, you hereby agree to volunteer the required number of hours. Please note that you may be asked to volunteer in excess of 20 hours should your child be selected to participate in Relay Carnival, Divisional Championship, or All Star meets. Our team and our swimmers, need your TIME. A team representative can assist you in selecting the appropriate volunteer positions that fit within your schedule and preferences. Please reach out for assistance in signing up if you have any questions or if you feel you cannot fill a role that is listed in the team sign-ups in SwimTopia. Volunteer hours will be monitored by our Volunteer Coordinator throughout the season, and you can check your status through the SwimTopia app. If you fail to accumulate the required number of volunteer hours at the end of the swim season, you will be charged the volunteer fee of $250. You will see the pre-approved $250 credit card amount when you proceed to checkout, but this will not be charged to your credit card unless you do not meet your volunteer requirement.

    Refund Policy

    Our team costs, including NVSL fees and supplies, insurance, team management software and operating costs are determined by the number of swimmers that we have on our team on the date that practices start. Therefore, most of our costs are pre-determined and paid for at the start of the season. If you do require a refund for any reason, the procedure shall be as follows:

    Any refund must be requested via email to [email protected].

    Note that we are unable to refund any fees other than the registration fee for each swimmer. Credit card transaction fees and SwimTopia user fees are non-refundable.

    - A full refund of the registration fee only shall be given for any swimmer when written notification is submitted to the email above prior to the first practice.

    - A 50% refund of the registration fee only shall be given for any swimmer when written notification is submitted to the email above prior to time trials.

    - No refunds shall be given for any swimmer when written notification is submitted to the email above after time trials.

    Photo Release Agreement

    Photos and/or videos of swim team participants may be taken during swim team events, and used on the team website, Facebook page and other social media accounts.
